The format that works

A developer or CTO dinner for an AI or devtool company is a 15-seat round table, not a reception. One theme, not a product pitch. No slides. The host's job is to pick who sits next to whom and keep the conversation technical. The brand is in the room, not on the menu.

Fifteen is the ceiling for a single conversation. Past that you get two tables, then it is a meetup with catering.

Two dinners, do not mix the lists. Practitioners talk stack. The people who sign talk budget and risk. Put both in one room and neither conversation happens.

What it costs

In San Francisco, a private room and a serious dinner for 15 runs about $2,500 to $3,000 for the venue and food. The full package (invite ops, outreach, night-of, follow-up) lands around $6,000. That is one dinner, not a monthly program.

The venue is the cheap part. The expensive part is a list that will actually show up.

Timeline: plan six weeks

A dinner that fills is a six-week job:

  1. Weeks 1 to 2: lock ICP, theme, and the invite list. If the list is wrong, nothing else saves the night.
  2. Weeks 2 to 4: outreach. Warm first. Cold only to fill gaps.
  3. Last two weeks: confirm, attrition chase, seating, run of show.

Two weeks is too tight unless the list is already warm and the client turns around names the same day. Fourteen days to a first event is an ambitious target when the client moves with us, not a maximum, SLA, or guarantee. In the Bay Area, two weeks is closer to the RSVP floor than a ceiling.

Invite math

Warm names (people who will take your text) accept around 60%. Cold outbound accepts 5% to 15%. Plan the list from those rates, not from hope.

The failure mode is 50% attrition between "yes" and the door. Target 80% or better show-up. That means confirmations in the last 48 hours, not a calendar hold from week three. Over-invite slightly. Do not double-book the room.

A 15-seat dinner with a cold-only list needs a hundred names and still might empty out. Start warm.

What "worked" means

Attendance is not the metric. Named follow-ups within 48 hours are. Who asked a real question, who should get a working session, who should never be invited again. The dinner is the room. The program is the week after.
